The last step, before the survey starts, is planning how to invite to the survey. You probably already consider all points intuitively.
Nevertheless, here are a few tips on how to properly invite people to the survey.
1st tip: Choose the right channel for the invitations
This point is crucial for who the survey group is or how the survey group can be reached.
If all your employees have an internal company e-mail address, you can invite them by e-mail – e.g. with the easyfeedback invitation tool.
If none of the employees or only some of them have an in-house e-mail, you can or must offer alternative channels:
- QR code:
Create a QR code from the survey link and hand it out via a notice board, for example, so that every employee can scan it with their smartphone and participate. - Provided computers:
Place 1-2 computers in a separate room and store the survey link on the computers so that employees can participate in the survey individually. - Intranet:
If you do not want to invite employees by mail, for example, you can also publish the survey link on the intranet on a publication date. Employees can access this and participate independently.

2nd tip: Send all invitations at the same time
If you send the invitations through multiple channels or email lists, be sure to send/publish them at the same time.
If you send the invitations to one group first and then to another group afterward, resentment will arise with the second group. Avoid a two-tier society by favoring one group over the other.
3rd tip: Provide sufficient information
When writing the invitation text for your employee survey, pay attention to a few rules so that the employee receives all the necessary information.
But also keep it short and don’t overload the text.

4th tip: Test the invitations in advance
It’s simple: include yourself as a recipient in the attendee list and send yourself an email invitation in advance.
This way you can see whether the email arrives, all the info is there and the link is clickable.
If you use a QR code or the intranet, for example, test these ways in advance as well.
Preferably with two end devices to make sure everything works smoothly.
