1. What is an event?
An event is an organized occasion for a specific purpose in which a group of people participate. An event can take place virtually or in the form of a face-to-face event.
Depending on the type of event, the number of participants and the purpose can vary greatly. It can be anything from a small teaching event in the form of a seminar to a larger sports or music event or even a cross-border trade fair.
2. Why should I ask for feedback on my event?
It always makes sense to ask for feedback. It’s the only way you can check whether participants’ expectations were met and whether there are ways to optimize the event in line with expectations and thus make it even more successful.
Through the feedback you get to know your participants better, benefit from their ideas for improvement, uncover weak points and optimize the event processes.
In this way, you create an extraordinary participant experience that leads to a strengthening of customer loyalty and ultimately to the success of your event. In addition, word of a good event gets around quickly and thus leads to a higher range and awareness.
3. What questions should I ask in my feedback form to get constructive feedback on the event?
Of course, the questions depend on the type of event. At a trade fair, you will ask different questions than at a webinar, but there are also questions which can be asked regardless of the type of event.
Here, for example, questions about the organization and the general conditions come to mind. Was the course of the event well thought out and were the premises appropriate? Were you satisfied with the catering on offer, or were the seminar documents or information materials well structured and helpful in terms of content?
But questions about the structure and content of the event, for example, whether the event had a common thread and the content was conveyed in an understandable way, are also useful.
In the case of an online event or large trade fairs with a presentation, it also makes sense to ask questions about the technical implementation, for example the image and sound quality.
No matter what questions you ask in your survey, the general rule is: formulate your questions simply and understandably. And what should never be missing is asking for praise and criticism or suggestions for improvement from the participants in order to tailor your event even more to the needs and expectations of the event visitors.
4. At what time should I best ask for feedback on my event?
It is not possible to determine 100% at what point in time it is best to obtain feedback on your event, as the type of event and the number of participants play a key role. Nevertheless, we have compared four variants for possible times for collecting event feedback below:
After the event
The first way to get feedback on the event would be to classically collect feedback directly after the event or a few days later with an survey. In this case, the participants may have already formed a firm opinion of the event and may have implemented the first content conveyed.
Before the final program point
The second option is to include feedback as a fixed program point at the end of the event, for example shortly before the closing words. At this point, all participants are still on site, so you can usually expect a high level of participation in your survey.
During the event
As a third option, you can also survey your participants during the event. Here, several short surveys are ideal, for example after each break or for each trade fair area. This allows you to ask your participants specifically about each block of a seminar, for example, or about certain topic areas of the trade fair.
During and after the event
A fourth option is to combine several short, topic-relevant surveys during the event with a longer survey on general topics after the event is over. This variant combines the advantages of both of the above and thus covers a broad spectrum.
