Content and targets of this virtual event feedback template

The trend among event and seminar providers toward virtual events is not only due to the pandemic. Due to the independence of location and the saving of costs, which arise with presence events through rental costs for rooms and catering, interactive events are enjoying a growing popularity. But also a lower planning effort, a more efficient execution and the arbitrary scalability of participants contribute to the popularity.

But regardless of whether it’s a face-to-face or online event, it makes sense to gather feedback. This is the only way to check whether participants’ expectations have been met and whether there are opportunities to optimize the interactive event in line with expectations and thus make it even more successful.

Content:

• Evaluation of the interactive event
• Evaluation of the speakers/presenters/event managers
• Question about reason for participation
• Inquire about what was liked and what was not so much liked

Targets:

• Receive feedback on the virtual event
• Learn reasons for participation
• Learn about attendee expectations
• Optimize event through participant feedback

Almost everything you need to know about virtual events

A virtual event is an event held digital over the Internet. Video communication software is used here, enabling the organizer to get in touch with his participants. Thus, smaller events such as seminars or webinars up to large trade fairs can be held online.

Online events have several advantages compared to face-to-face events, which we have compiled below:

Flexibility
A digital event can be held regardless of location. You can dial in from anywhere, be it from your office, your home office or a café. The number of participants is unlimited due to the virtual space, so that any number of people can participate in the event without much effort.

Save costs and resources
With an online event, there are no costs for renting a suitable event location and catering for the participants. Travel and accommodation costs are also eliminated, as dial-up can be done from the comfort of your own home and there is no need to travel across Germany. This is not only easy on the wallet, but also on the environment. Fewer resources, such as paper and printed materials, are also needed for planning and preparing the event.

Digitality
During the virtual event, you have various advantages due to the digital execution. For example, you can easily integrate interactive elements such as videos or images or conduct a live vote during the presentation. In addition, you can easily make the recording of the event available to the participants afterwards by e-mail.

As with any face-to-face event, you should not do without feedback from your event participants during an online event. This is the only way to get first-hand impressions from your participants. Based on the feedback, you can learn more about the expectations and needs of the participants and identify potential for optimization in terms of content or organization. This is how you ensure the long-term success of your events.

Since familiar feedback methods such as the evaluation target or the evaluation poster require the on-site presence of event participants, other feedback collection methods must be used for digital events. Here, the following options, among others, can be considered:

Digital feedback session
This is an open virtual conversation to receive impressions, praise and criticism about the entire online event and to discuss individual points more intensively.

Online voting

Participants are asked individual questions via the video communication software and vote directly in real time.

Online polls
Feedback can also be obtained via an online survey. Participants receive a questionnaire that they fill out after or during the online event.

The questions depend on the type of online event. At a virtual trade fair, you will ask different questions than at a webinar, but there are also questions which can be asked regardless of the type of event.

Here, for example, questions about the technical implementation of the event such as the image and sound quality are ideal. But questions about the content of the event or the evaluation of the speaker also make sense. Praise and criticism or suggestions for improvement from the participants in the form of text responses should never be missing.
